Membership to eMedi Community is FREE of charge for Patients and for Clinics/Physicians.
Do i need to subscribe or sign a contract?
No. You can use the system on a day-to-day basis with no obligations, subscriptions or contracts.

What are other costs of using your service.
There is no cost for clinics to list their services and use our system. Other optional features such as Text messaging and insurance eligibility verification is charged on a per-use fee.
Will Patients have to pay for the service?
There is absolutely no cost for patients and their family members.
How many physician calendars are allowed in one practice?
Unlimited, you may add as many Physicians as needed with each having their own customizable calendar
Can physician calendars be customized?
Yes, by using the “Dashboard” each physician can select colors for their appointments, out-of-practice time, reasons for absence, work hours, timeslots allocated according to patient’s reason for visit, accepting new patients or not, time allocation for Medicaid and Medicare patients, accepted payment methods and insurance companies/payers, and other features.
Can I customize a web page for my practice ?
Yes, by using the special Wizard you can design your own unique web page, including general information, contact information, 6 photos, as well as a custom color scheme.
How am I notified of a new appointment request?
There will be a visual and audio alert on your screen to notify you of new incoming appointment request. You will also be notified via email and SMS text message (if you purchased SMS package). The appointment request will be shown as pending on your calendar. The details of this request as well as the patient information can be seen by clicking on the request. Once you or your clinic approve the request, patient will be notified the same way.
How is the duration of an appointment determined?
The duration of an appointment is determined by you based on the patient’s “reason of appointment” i.e. if you have defined 30 minutes for a checkup (as a reason of an appointment) then 30 min. will be automatically allocated for a patient that selects “checkup” as the reason for appointment at time of requesting an appointment. If the patient chooses not to select one of the predefined reasons, then a 1 hr time slot will be allocated by default. You will also be able to manually change the duration of an appointment before you approve an appointment request.
How is the patient notified of an approved appointment?
Depending on the patient’s choice at time of requesting an appointment, confirmation notification can be by an email, text message, or both, automatically generated by the system, or by telephone. The system automatically sends an email to patients with an email address for appointment requests, appointment confirmation, appointment cancellation and rescheduled appointment.
How can I cancel an approved or pending appointment?
You will be able to cancel an appointment by one click.. The patient will be notified of the cancellation by email, text message or telephone, whichever method has been selected by the patient or the practice.
Can I schedule an appointment for my patient?
Yes, by clicking on an available time-slot an appointment form will appear. By completing and saving the form an appointment will be created on your calendar and your patient will be notified by email, text message or telephone, whichever method has been selected by the patient or by the practice
Can two different appointments be scheduled for the same time slot of the same day?
This is a preference setting that is given to the clinic. If you elect to accept more than one appointment requests for the same date and same time, patients will be allowed to request appointments as many as you choose. When your elected number of appointment requests are received, next patient will view this time slot as “Unavailable”
How are time slots blocked?
Time slots can be blocked for certain times of the day or the entire day on a physicians calendar. By clicking on the Blocking icon of each day, you can select time slot/s or the entire day to be blocked. “Lightbox” will pop to select the time slot/s to be blocked, or to select the entire day to block Patients will not be able to request appointments for the blocked times. If there are existing, approved or pending appointments for the day or for the time of blocking, system will ask you whether you would like to cancel these appointments or reschedule them for the first available time after blocking (done automatically by the system). Based on your selection, patients of these appointments will be notified of a cancellation or appointment rescheduling automatically.
What is an appointment search?
By using “appointment search” you can view past and future appointments based on patient name, physician name and appointment time.
What does “Physician Excuses” mean?
This indicates instances when physicians will not be available during their regular work hours. Examples of “excuses” could be conference, vacation, research etc. You can define these excuses to block time slots. Patients will not be able to request appointments for these blocked hours
Due to the Physician emergencies, can a time slot be blocked while there is an approved appointment for that time slot?
Yes you can. In such cases, you have two options: You can either cancel these appointments or the system can automatically reschedule them to the most recent available time. In both cases patients will be notified by email, text message or telephone, whichever method has been selected by the patient or the practice.
Can Physician work hours be set different to those of the clinic work hours?
Yes, you can set these hours using the wizard or from your dashboard. Time slots outside of the Physician work hours will be blocked, and patients will not be able to request an appointment for those hours
Will all the Physicians in the practice have their own access?
Yes, each Physician will have a username and password with which only they can access their calendars from anywhere as long as they have an internet connection.
Can we determine payers and payment methods accepted by the practice?
Yes, by listing the names of payers and payment methods accepted, patients will be informed at time of requesting an appointment. Should a patients method of payment or payer not be on the list the patient’s request for appointment will be highlighted in red. By accepting to see the patient the requested appointment will be approved or denied and the patient notified by email, text message or telephone, whichever method has been selected by the patient or the practice
Do we need to change our Practice Management or Electronic Health Record System in order to use your services?
No, the system is application independent. We provide an Interface Hub to link the system to your current systems/s.
How can patients find our practice?
There are two ways. Patients can either search using the Physician/clinic search engine on the eMedischedule.com home page or they can use the direct link to your practice’s homepage. All practices can choose a custom URL during registration. Your homepage can be accessed by this URL, i.e. http://myclinic.eMedischedule.com. You can also insert this URL into your existing website as a link for your patients to request online appointments.
How can I get help while using the system?
There are help modules and videos on each screen explaining the “how to’s” and system functions. For additional assistance simply complete the form on the “contact us” page and your questions will be answered within 2 hours
Is the system HIPAA compliant?
The system complies with secure communication technology per HIPAA standards, besides which, no sensitive personal information such as SSN or medical information is communicated.
Can I schedule an appointment without registering?
Although registration is absolutely free, you can schedule appointments without registering. Please note that if you don't register you will be required to re-enter your information whenever you want to schedule an appointment or change an appointment.
What are the advantages of registering?
The system will store your information so that you won’t have to re-enter it when you next schedule or change an appointment. You can also add family members to your account and manage your entire family’s appointments using only one account. You can also update your profile as well as your family members' profiles and personalize your dashboard.
How do I schedule an appointment?
After logging in you can search for a doctor or a clinic. By clicking on a specific doctor’s name you will have access to the doctor’s calendar. To make an appointment, simply drag and drop your name (displayed in the window on the left hand side) onto your preferred time-slot on the calendar. This will activate a pop-up dialog box requiring you to complete a form that provides basic information. Your request for an appointment will be automatically sent to the doctor’s office.
How will I be notified that my appointment has been confirmed?
Your calendar will show your requested appointment as “approved” and you will be notified by email and, if your doctor’s office supports the service, also via a text message to your phone. If you elected to be notified by phone, a representative from your doctor’s office will contact you .
How do I reschedule an appointment?
Just drag and drop your name onto a new available timeslot of your choice on your doctor’s calendar. The doctor’s office will notify you via email and, if your doctor’s office supports the service, also via a text message to your phone that your request for rescheduling has been received. As soon as the doctor’s office approves your rescheduled appointment you will be notified.
How do I cancel an appointment?
Just drag and drop your appointment from your doctor’s calendar to the trash can. The doctors’ office will notify you via email and, if your doctor’s office supports the service, also via a text message to your phone that your appointment has been cancelled.
Can I schedule appointments for my family members?
If you are a registered user you can add family members to your account and schedule appointments for them by using the “add/remove” family members feature on your dashboard. .
Can I make a list of my preferred Doctors?
Yes, you can add a doctor to your list by clicking the “add to my favorites” button next to doctor’s name. .
How do I change my password?
You can change your password from the security profiles on your dashboard.
How do I retrieve my password?
Click on the “forgot my password” link on eMedischedule.com homepage and complete the form. Your password will be emailed to you.
